Terms and conditions - Booking conditions

General Terms and Conditions

Applicable to all clients, passengers, and users of the services provided by D&D Services BV.

1. Scope of Application

These general terms and conditions apply to all agreements regarding passenger transport concluded between the customer and D&D Services BV, with registered office at Senator Alfons Jeurissenlaan 1154/3, 3520 Zonhoven, registered in the Belgian Crossroads Bank for Enterprises under number 0899.515.939.

2. Reservations

Reservations must be made by email or through the reservation form on www.d-dservices.be. Selected clients may use the booking tool provided through mobiliteitsnet.nl. 
Reservations by telephone are only valid with our explicit confirmation. In such cases, D&D Services cannot be held liable for misunderstandings.

3. Required information

The customer must provide all necessary and accurate information for the requested transport, including:
- Name, 
- Addressen and/or locations, 
- Mobile phone number, 
- Number of passengers, 
- Destination(s), 
- Dates and times 
- and—if applicable—flight or train numbers. 
D&D Services cannot be held responsible for failure or delay of transport resulting from incomplete or incorrect information.

4. Tolls, parking and surcharges

Toll charges are not included, unless explicitly stated in the booking confirmation.
Parking fees are included in the standard rate.
A fixed €10 surcharge applies for every airport or train station pick-up. This includes one hour of waiting time after landing and one hour of parking. If this period is exceeded, additional waiting fees of €15 per started 15 minutes will be charged.

5. Payment terms

Unless otherwise agreed, all rides must be paid upon arrival, either in cash or by card directly to the driver.

The reservation form clearly allows customers to indicate whether they are a business client. If, after service execution, an invoice is requested while this was not indicated in advance, an administrative fee of €15 will be applied.

6. Invoicing and late payments

Invoices are payable within 14 days from the invoice date. In case of non-payment, the following fixed penalties apply:
– First reminder: free of charge
– Second reminder: €10
– Third reminder: €25
– Fourth reminder: €50 + costs of registered letter
In accordance with Articles 1139 and 1147 of the Belgian Civil Code, late payment gives rise automatically—without formal notice—to a contractual, non-reducible compensation of 12% (minimum €25), and annual late interest of 12%. All collection costs are borne by the client.

In the event of continued non-payment, D&D Services reserves the right to suspend its services until all outstanding and due invoices have been fully settled, without waiving any of its rights.

7. Complaints

All complaints must be submitted in writing by registered letter within 8 calendar days following the invoice date to be considered valid.

8. Bookings for third parties

If a booking is made by a travel agency or company on behalf of third parties, the original contracting party remains jointly and severally liable for any costs if the third party fails or refuses to pay.

9. Liability and punctuality

D&D Services exercises the utmost care to deliver passengers on time. However, D&D Services accepts no liability for failure to arrive at the agreed time or place. Any direct or indirect damage resulting therefrom will not be compensated. The liability of D&D Services is always limited to the amount of the relevant transport.

10. Force majeure

D&D Services cannot be held liable for delays or damages resulting from force majeure, including but not limited to: traffic congestion, strikes, weather conditions, road works, or other unforeseeable circumstances.

11. Tariff adjustments

D&D Services reserves the right to unilaterally adjust its tariffs without prior notice. This does not apply to individual transfers that have already been booked and confirmed by D&D Services.

12. Exceptions and deviations

Any exceptions to these terms are only enforceable if confirmed in writing and by registered mail by D&D Services.

13. Online price calculator

D&D Services offers an online calculator for clients to obtain price estimates. Although we strive to keep this tool accurate, no rights can be derived from it. Only the price stated on the final reservation form sent by D&D Services is valid and legally binding. Any discrepancy between the calculator and the reservation form shall not give rise to complaints, refunds, or claims.

14. Client responsibility

Clients are responsible for complying with safety and legal obligations, including wearing seatbelts and the use of child seats. Any damage caused by the client or their passengers will be fully charged.

15. Misconduct and safety

D&D Services reserves the right to refuse or terminate transport immediately if a passenger behaves aggressively, violently, is under the influence of alcohol or drugs, or otherwise endangers safety. In such cases, the full transport cost remains due.

16. Damage and cleaning

Any damage to the vehicle is charged to the client. If the reservation was made by a company and the individual cannot be held liable, the company that placed the booking will be held responsible.

If the interior of the vehicle is soiled (e.g. vomiting, spillage, mud), a cleaning fee of at least €75 will be charged.

17. Data protection

Personal data are processed in accordance with the General Data Protection Regulation (GDPR) and are not shared with third parties, unless legally required or necessary for service execution.

18. Assignment of rights

The client may not transfer any rights or obligations under this agreement without the express written consent of D&D Services.

19. Severability

If any provision of these terms is found to be invalid or unenforceable, the remainder of the agreement remains in full force. The invalid clause will be replaced with a provision closest to the original intent.

20. Corporate clients and framework agreements

For regular partners and business clients, a separate service agreement or framework contract (SLA) may be established. In the event of contradiction, such agreements take precedence over these general terms and conditions.

21. Applicable law and jurisdiction

This agreement is governed by Belgian law. Only the courts of the judicial district of Hasselt have jurisdiction over any disputes.


Booking Conditions

1. General

All listed rates assume that bookings are made at least 24 hours in advance and include a single pick-up and/or drop-off address. Exceptions are possible but may result in additional costs.

2. Additional addresses

– €10 per additional pick-up or drop-off if along the route (maximum 4 stops)
– For deviations or detours of more than 10 km: price upon request
– D&D Services selects the most efficient route and may apply carpooling (with a surcharge if necessary)

3. Cancellations and no-shows

– Cancellation less than 6 hours before pick-up: €40
– Cancellation more than 6 hours in advance (on the same day): €20
– If the driver is already en route or on site: cost determined by D&D Services
– A no-show, or failure by the customer to book correctly, resulting in an unnecessary transfer, will be fully charged

4. Waiting time, changes, and last-minute bookings

– First 15 minutes of waiting time: free
– Additional waiting time at departure: €15 per 15-minute block
– Bookings less than 6 hours in advance: +€40 express surcharge
– Immediate or urgent bookings: price determined by D&D Services
– Modifications to pick-up time of more than 1 hour within 6 hours before departure: +€30
– Bookings made after office closing on Friday (4:30 PM) for transfers during the weekend or the following Monday: additional cost as determined by D&D Services

5. Arrival delays

If the passenger's baggage claim or border check takes more than one hour after landing, a waiting fee of €15 per started 15 minutes beyond the first hour applies.

6. Non-online bookings

As of May 2023, bookings made outside www.d-dservices.be/boek-nu or mobiliteitsnet.nl are subject to a €15 surcharge per transfer.

7. Premium vehicles

Bookings for the Mercedes S-Class, Mercedes V-Class, or BMW 7-Series are charged at standard rate + 50%.
